# Billing and invoices

Subscribe, change plan, add domains, understand usage charges and VAT, download invoices, cancel, and ask for a refund.

Billing belongs to the team. Only the **team owner** can open **Billing**, subscribe, change plan, see invoices or cancel. Admins and other members cannot.

Payments are processed by Stripe. CookieBeam accepts cards.

## The Billing page

Open **Billing** in the dashboard sidebar. It has five tabs:

| Tab | What it shows |
| --- | ------------- |
| **Overview** | Current plan, billing cycle and period, and the upgrade and cancel buttons |
| **Usage** | Consent records, manual scans and domains used this month against your plan, and the rates for anything above it |
| **Plans** | The plans you can move to, monthly or yearly |
| **Invoices** | Your invoices, with a download link for each |
| **Payment Methods** | The cards on file |

**Manage Subscription** opens the Stripe customer portal, where you can update the card and billing details.

## Subscribe

1. Open **Billing → Plans** and choose a plan and a monthly or yearly cycle.
2. Enter your country and choose whether you are buying as a business or as an individual.
3. If you are a business in the EU, enter your VAT number. It is required for reverse-charge invoicing, and checkout does not continue without it.
4. Complete the Stripe checkout. It asks for a billing address, lets you add a tax ID for your invoices, and asks you to accept the Terms of Service.

VAT is calculated from your country and business status, and it appears on the invoice. Business customers outside the EU can also add their tax ID in checkout so it appears on invoices.

## Change plan

Choose the new plan on **Billing → Plans**. The change applies straight away:

- Stripe prorates the rest of the current billing period and issues an invoice for the difference immediately.
- Your billing date stays the same, unless you also switch between monthly and yearly.
- During a trial, the trial end date stays the same.

You cannot move to the Free plan from **Plans**. To stop paying, [cancel](#cancel) instead.

## Extra domains

Each plan includes a number of domains. You can add more as domain add-ons, billed per domain. The **Usage** tab shows the current per-domain rate.

A new domain is not charged until it has been on the team for 14 days, so a domain you add and remove again within that window costs nothing. After that, a domain on a monthly plan is billed from the next billing cycle. A domain on a yearly plan is prorated immediately.

## Usage above your plan

Paid plans include a monthly allowance of consent records and manual scans. Usage above the allowance is added to your next invoice:

- **Consent records** are billed per block of 1,000 records.
- **Manual scans** are billed per scan. Automatic scheduled scans do not count toward the allowance.

The **Usage** tab shows how much you have used and the rate your team pays.

The Free plan has no usage charges. When its consent record allowance is used up, CookieBeam stops storing new records for the rest of the month. See [the Free plan](https://cookiebeam.com/docs/account/plans-and-trial#the-free-plan).

## Invoices

Invoices are listed on **Billing → Invoices** with their number, date, amount and status. Select **Download** to get a copy. The Stripe customer portal shows the same invoices.

## Cancel

1. Open **Billing → Overview**.
2. Select **Cancel Subscription**.
3. Optionally tell us why, then confirm.

Cancellation takes effect at the end of the current billing period. Until then you keep every feature and are not charged again. You can see the end date on the Overview tab.

When the period ends, the team becomes **inactive**:

- Its banners are switched off and their scripts are removed from the CDN, so your sites stop showing the banner.
- Banner settings, versions and stored consent records are kept, subject to your plan's [retention](https://cookiebeam.com/docs/compliance/retention).
- Subscribing again from **Billing** reactivates the team and restores the banners that were switched off when the subscription ended.

Remove the CookieBeam script from your sites, or replace it, before the period ends. A site that relies on the banner to hold back trackers loses that protection when the scripts are removed.

## Refunds

Subscription fees for a period you have already had access to are generally not refunded. Charges made in error, such as a duplicate charge, are refunded. If a problem on our side seriously affected your use of the service, contact support within 30 days.

To ask for a refund, email **support@cookiebeam.com** with your team name and the invoice number. The full policy is on the [Refunds and Cancellations](https://cookiebeam.com/refunds) page.
