# Policy pages

Generate, publish and embed a cookie policy, privacy policy and terms of service from your scan inventory and a questionnaire.

**Policy pages** builds three documents for a banner: a cookie policy, a privacy policy and terms of service. CookieBeam hosts each published document and gives you an embed snippet that always shows the latest published version.

Open it from **Compliance → Policy pages**. You need read access to the Compliance section to view it, and **Publish** permission on the banner to publish.

> **Templates, not legal advice.** Generated documents are templates. They may not reflect every legal requirement that applies to your business. Review each one against your actual data practices and have it checked by a qualified lawyer before you publish. The **Coverage** tab lists which provisions each section is intended to address; those citations are drafting aids, not an assessment.

## Plans

| Document | Included from |
| --- | --- |
| Privacy policy | Starter plan |
| Cookie policy | Professional plan |
| Terms of service | Professional plan |

The overview at the top of the page shows each document's state: not started, draft, published, or published with unpublished draft changes. It also shows whether the banner links to the document.

## Cookie policy

The cookie policy is built from the banner's **current cookie inventory**: every active cookie in the inventory, grouped by category, with its domain, purpose and expiry where known. It is generated when the page or embed is requested, so it does not freeze at publish time.

Before you publish the full cookie policy, the hosted cookie policy page shows a basic cookie list from your scan.

To publish the full policy:

1. Open the **Cookie policy** tab.
2. Enter the **Company or legal entity name**. Use the legal entity, not a workspace or account name.
3. Enter a **Privacy contact email** for that company. Your account email is not used.
4. Choose a **Length**: short, standard or detailed. Short is a summary; link a complete cookie inventory and privacy policy if you use it.
5. Choose a **Jurisdiction emphasis**: Global, EU / UK, US, Brazil or Canada.
6. Review the warnings. Cookies listed as **Other cookies** have no established purpose yet; classify them in the inventory first.
7. Click **Publish cookie policy**.

Hosted and embedded copies update within one hour of publishing, because they are cached. Use **Restore legacy cookie policy** to go back to the basic list.

You can also copy the policy as HTML, Markdown or plain text, or copy the auto-updating embed.

## Privacy policy and terms of service

Both documents are built from a questionnaire.

- The **privacy policy** asks about your business, jurisdictions, the data you collect, purposes and legal bases, sharing, transfers and retention, rights requests, and other disclosures. You can select GDPR, UK GDPR, CCPA, other US state laws, LGPD and PIPEDA. Vendors found by your scans are prefilled as recipients; check each one.
- The **terms of service** ask about your business, the service, payments, and liability and disputes.

To publish:

1. Open the **Privacy policy** or **Terms of service** tab.
2. Work through each step. Use **Save draft** to keep your answers without publishing.
3. Open **Preview** and fix the items under **Review before publishing**.
4. Open **Changes** to compare the draft with the published version.
5. Click **Publish**, confirm that the document is a template you have reviewed, and confirm again.

Each publish creates a new numbered version. Earlier versions stay in the version history. If the generated document has not changed since the last published version, no new version is created.

## Put a document on your site

Open **Publish & embed** after the first publish. The banner needs a public ID, so publish the banner itself first if you have not.

- **Hosted page** — a CookieBeam-hosted page for the document. Link to it from your site footer or banner.
- **Embed code** — a script tag and an empty container element. Paste both where the document should appear. The embed always shows the latest published version.

To let visitors open a document from the consent banner, add the hosted link in the banner settings under policy links. The overview shows **Not linked from the banner** until you do.

## Troubleshooting

**Publish cookie policy is refused.** Add both the legal entity name and the privacy contact email. Check that you have Publish permission on the banner.

**The embed still shows the old text.** Embedded and hosted copies are cached. Wait up to one hour after publishing for the cookie policy, then reload.

**A cookie is missing from the cookie policy.** The policy lists active cookies in the banner's inventory. Run a scan, and check that the cookie is active in the inventory. See [Auto-scanner](https://cookiebeam.com/docs/configure/scanner).

**Publish & embed shows no URL.** Publish a version of the document first. If it says the banner has no public ID, publish the banner.
